DUTIES AND RESPONSIBILITIES
Under the supervision of the Head, Sub-office, Calabar, the Administrative Assistant provides functional administrative support to the Calabar Sub-Office in the delivery of quality services in Correspondence Management, effective Administrative system, Asset Management, Maintenance of office space and utilities, effective logistics Management and Store Management. The Administrative Assistant :
- Works closely with programme and project staff in providing administrative support to programme planning and implementation.
- Provides logistics and administrative support to sub-office, inclusive of coordinating review meetings /workshops/ events and other programmatic functions.
- Ensures effective maintenance of the office space and equipment.
- Screens and analyzes courier bills for payment.

- Facilitates the planning and management of logistical requirements from staff to support programme monitoring and evaluation, programme observances and enhance UNFPA visibility in the country.
- Facilitates hotel and reservation logistics for conferences, meetings and workshops.
- Ensures quality vehicle management and allocation of drivers for daily movements, missions and airport pickups.
- Facilitates store maintenance, stock taking and allocation of stationery for staff and replenishing.
- Maintains and update Data in Atlas Vendor Management Portal.
- Ensures effective management of Sub-Office assets, maintaining updated inventory register in Atlas.
- Undertakes any other assignments as may be required by the Head of DO, Deputy Representative and Representative.

QUALIFICATION & EXPERIENCE
The ideal candidate should:
- Be a Nigerian national (male or female)
- Have a Bachelor Degree or Higher National Diploma in Secretarial Administration, Public Administration, Sociology or in a related field.
- Have a minimum of 5 years working experience in the public or private sector. UN experience would be desirable.
- Be fluent in oral and written English
- Have computing skills and be knowledgeable in office software packages..
